Refund & Cancellation Policy

1. Introduction At AhaLok® Technologies Private Limited (“AhaLok®”, “we”, “us”, “our”), we value clarity, fairness, and integrity in every engagement. This Refund & Cancellation Policy defines the terms under which cancellations and refunds are handled for services provided across all AhaLok® divisions — including AhaLok® Technologies, AhaLok® Studios, Xtasify, and 99 Ka Chakkar™. By engaging our services or making any payment to AhaLok®, you agree to the terms outlined below.

2. Scope of Policy This policy applies to: Technology & Product Development projects Media & Production services Learning & Transformation programs (Xtasify) Digital Marketing & Branding services (99 Ka Chakkar™) Each service type has unique workflows and cost structures, so refund eligibility varies accordingly.

3. General Principles All work undertaken by AhaLok® involves extensive human effort, planning, and resource allocation. Refunds are not automatic and are processed only after internal review and approval. Refund amounts (if approved) will be calculated after deducting costs already incurred. Refunds are issued only through the original payment method within the specified time frame. Requests must be initiated via written communication to contact@ahalok.com .

4. Refund & Cancellation by Service Type
A. Technology & Product Development (AhaLok® Technologies)
Nature of Service: Custom software, web, and product development — milestone-based.
Refund Policy: Before Project Start / Discovery Phase: If cancellation is requested before commencement, 80% of the paid amount (after deduction of administrative and payment gateway fees) will be refunded.
After Work Initiation: Refunds are not applicable for completed phases or milestones already approved.
Change of Scope: If the project scope changes, a revised proposal and cost sheet will be mutually agreed upon.
Non-Payment Delays: Projects delayed due to client inaction or partial payment are not eligible for refund.
Cancellation: Written notice must be provided at least 7 working days prior to cancellation.

B. Media & Production Services (AhaLok® Studios)
Nature of Service: Filmmaking, photography, and post-production for events, commercials, or branded content.
Refund Policy:
Booking Fees: Advance booking amounts are non-refundable, as they reserve production slots, teams, and resources.
Project Cancellation (Before Production): If cancellation occurs before shoot dates and after initial planning, only non-utilized costs may be partially refundable at management’s discretion.
After Production Start: No refunds once filming, photography, or editing has begun.
Client No-Show / Event Postponement: If an event is postponed or canceled by the client, rescheduling may be offered depending on availability, but refunds are not guaranteed.

C. Learning & Transformation Programs (Xtasify)
Nature of Service: Personal and group learning sessions, workshops, courses, and consulting programs.
Refund Policy: Prepaid Consultations / Sessions: Once a consultation or session slot is confirmed, it is non-refundable. Rescheduling may be allowed if requested 24 hours in advance.
Workshops or Courses: If a participant cancels up to 7 days before the program start date, 50% of the fee may be refunded. No refunds for cancellations within 7 days of program commencement or once access to course materials is granted.
No-Show Policy: Participants who fail to attend a scheduled session without prior notice are not eligible for refund or reschedule.

D. Digital Marketing & Branding Services (99 Ka Chakkar™)
Nature of Service: Marketing strategy, campaign management, SEO, and digital content creation.
Refund Policy:
Strategy / Planning Fees: Non-refundable once campaign research, planning, or creative ideation has begun.
Monthly Retainers: Refunds not available for ongoing monthly retainers; however, contracts can be canceled with 15 days’ notice before renewal.
Performance-Based Services: Since results depend on external factors (algorithms, audience behavior, ad platforms), no guarantees or refunds apply to performance outcomes.

5. Refund Timelines Approved refunds (if any) will be processed within 10–15 working days of approval. Refunds will be credited to the original payment method only. Clients will receive a written confirmation once the refund is processed.

6. Force Majeure Refunds are not applicable for delays or service interruptions caused by events beyond AhaLok®’s control — including but not limited to natural disasters, technical failures, strikes, or government actions.

7. Dispute Resolution Any disputes regarding refund or cancellation will be resolved amicably through written communication and review. If unresolved, they will be subject to the laws of India and under the jurisdiction of Madhya Pradesh courts.

8. Policy Amendments AhaLok® reserves the right to amend this policy at any time to reflect updates in service offerings or legal requirements. The revised version will be published on this page with an updated Effective Date.
